Quick Start Initial Setup Guide for Equestrian Centers

Step-by-step procedure to enter your stable details, configure arenas, timezone, and enable staff access.

This guide walks you through the initial setup of your equestrian center on Stable Pro. In a few minutes your platform will be ready to use.

Entering general information

  1. Open the user menu (the avatar in the top right) and go to Settings.
  2. On the General tab, in the Company details box, fill in the following fields:
    • Legal name — the official name of your center.
    • Address — the facility's operating address.
    • VAT / Tax number and Tax ID / Fiscal code — required for receipt headers.
  3. Select your Timezone (e.g. Europe/Rome) and Currency (e.g. EUR).
  4. If you issue tax documents, in the Taxes & Documents box turn on Apply tax, set the Default rate (%) and, under Document numbering, the Prefix. The prices you enter always include tax: there is no option to work net of tax.
  5. Click Save in the bar that appears at the bottom of the page as soon as you change something.

The Company details and Taxes & Documents boxes are only visible to the owner account, the one that registered the center.

Managing access and staff

Access is not created from the Users & Access page: it is enabled from the person's own profile.

  1. From the sidebar go to Members (or Staff) and open the team member's profile.
  2. In the Notifications & Portal box, check the Email field: this is the address the person will log in with.
  3. Turn on the Portal Access switch. The account is created straight away, with a password generated automatically and shown in the Password field: copy it and hand it to the person yourself. Stable Pro does not send any invitation email.
  4. The button below the password (Standard, or Custom if you have already changed something) opens the list of Permissions, which you tick one by one.

The profile is only the starting set of permissions: what really counts are the permissions you tick. The existing profiles are Owner (full access), Manager (near full), Operator (standard) and Read only for the management app, plus Member (portal) and Staff (portal) for the portal; access enabled from a member's or a staff member's profile starts from the matching portal profile. Do not confuse these with qualifications such as Instructor or Administrator: those are the roles of the staff records and grant no permissions.

From the user menu in the top right, the Users & Access entry instead shows the list of accounts that already exist, with email, type (Member or Staff), profile, number of permissions and status. From there you can search for a person, open their profile and disable or re-enable access: the account is not deleted, permissions and history are kept.

Tip: after your first login, open the user menu in the top right, choose Security & Access and turn on Two-step verification (2FA) in the dedicated section. You need an authenticator app on your phone to generate the 6-digit code.
